Outreach Coordinator

 

Description:

Passim (www.passim.org) is looking for a highly motivated Outreach Coordinator to join its staff. The position is part-time (roughly 20 hours per week) and reports to the Executive Director. The Coordinator will be responsible for Passim’s community outreach programs: Passim Presents, a continuous series of live music events including BCMFest, several summer concert series, and other events. In addition, if the candidate has the right background, he or she could also be involved with management of our IT/software systems.


Program Responsibilities

 

Passim Presents. As part of its mission, Passim presents concerts in the community. In the summer of 2017, Passim presented three free weekly outdoor concert series, located in Harvard Square, Kendall Square, and Danehy Park. We also launched a new Friday lunchtime concert series at Harvard University. We also host stages for the Harvard Square Business Association’s Mayfair, Folk Festival, and Oktoberfest. Booking for the concerts is done by our Managing Director. Additionally, a few times each year Passim also presents high profile artists at other, larger venues. 

The Outreach Coordinator will be responsible for:

o Preparing for events by communicating with artists and community representatives

o Managing the actual events in terms of schedule, crew coordination, set up and tear down

o Working with artists to ensure that concerts run smoothly

o Working with the Executive Director to attract sponsorships for the various series

o Crafting a marketing strategy in collaboration with our Marketing Coordinator and consultants



BCMFest (Boston’s Celtic Music Festival). This festival, which occurs annually in early January, is considered the premier presenter of Boston-based Irish, Scottish & Cape Breton music. In January 2018 BCMFest will celebrate its 15th anniversary and opened the Harvard Square Business Association’s Winter Carnival.


Responsibilities include:

o Overseeing the BCMFest Committee - a group of community volunteers

o Setting of meeting times and agendas, especially around artist selection and program planning and execution

o Establishing and assigning roles to various members of the BCMFest Committee to ensure efficient and effective workflow

o Working with the Executive Director to find sponsorship and financial support for the festival

o Recruiting and managing volunteers throughout the festival

o Hands-on management of the event itself

Qualifications:

We are looking for a dynamic team-leader who can work well with others and run successful events. Eligible candidates should possess at least 3 years of work experience involving the development and implementation of programs and management of events. Good organizational skills and an ability to multitask at times is important. Experience with live sound production is a significant plus. A background in IT/web development and maintenance would also be valuable.

· Bachelor's degree required

· Demonstrated involvement in event management, particularly in the arts

· Sincere commitment to work collaboratively with all constituent groups, including staff, board members, community representatives, volunteers, and donors

· Accountability, managing and measuring progress, process, and results

· Ability to speak comfortably in front of crowd to explain and promote Passim’s mission

Arts Administration Internship, Summer 2018

 
Job Description:

Passim, a nonprofit performance arts organization, offers a semesterly internship program that provides a hands-on, meaningful experience for people beginning a career in the arts. Interns will be immersed in the day-to-day experience of running Passim’s fast-paced office, including working on special events, social media, membership maintenance, and at the box office. Interns will work closely with all Passim staff members, gaining a broad view of the organization as a whole.


Responsibilities:

-Answer the Passim phone to sell tickets and assist patrons as needed.

-Assist the Membership Coordinator with renewal and member services.

-Post to Passim’s social media.

-Maintain active event listings in various Boston publications.

-Analyze the effectiveness of Passim’s social media outlets in the context of other similar organizations.

-Help build bi-monthly newsletters and the online concert calendar.

-Compile press lists and photos.

-Create Spotify playlists.

-Interact with artist management to provide excellent customer service and increase ticket sales.

-Attend and assist at Passim events.

-Complete special projects as needed.

 

Qualifications:

-Strong academic performance.

-Exceptional oral, written, and listening communication skills.

-Exceptional organizational, multitasking, and problem-solving skills.

-Experience using Microsoft Word, Excel and Google Drive.

-Experience with many social media platforms.

-Basic knowledge of current music industry affairs.

-Extremely reliable, a team player, strong work ethic, a positive attitude.

-Knowledge of FileMaker Pro and Showare (a plus, but not required).
