Administrative Coordinator

 

Position Summary:

Passim (www.passim.org) is looking for a motivated Administrative Coordinator with a passion for the arts to join our staff. The position is part-time (approx. 20 hours per week) and reports to the Executive Director.  The job includes general office support to all staff, along with performing the typical administrative tasks required in any office.  We are a small staff where teamwork and collaboration are vital.

 

Responsibilities:

·      Carry out daily tasks such as dealing with phone-related reservations and ticketing and preparing school-related press materials.

·      Act as the face of Passim through answering the phone and responding to routine inquiries.

·      Interview and hire interns for each semester who help with all admin support.

·      Perform data entry and processing across departments, especially membership and finance.

·      Set up and coordinate meetings and take notes at staff meetings.

·      Help maintain online presence through website and social-media.

·      Sort incoming mail and bring outgoing mail to the post office.

·      Take care of office supplies.

·      Assist with events, such as Passim’s free outdoor summer concert series.

·      Carry out special projects, such as research on potential donors, analysis of marketing data, and gathering music-industry information.

 

Qualifications:

·      Team player and friendly personality.

·      Excellent customer service skills and phone manner.

·      Computer proficiency: Excel is most important, followed by Word.  Experience with FileMaker Pro would be a plus, but not necessary.  Also web-based tools & social media (Twitter, Facebook, You Tube, Instagram, Constant Contact).

·      Excellent organizational and communication skills.

·      Good writing, analytical and problem-solving skills.

·      Ability to multi-task.

·      Prior experience as an administrative assistant or similar position desirable.

·      Bachelor’s degree.

Brunch and Server Manager

Description:
Passim is looking for a talented food service professional to manage our serving staff and our Sunday music brunch. This person also sits on the kitchen management team and plays an important role in setting the tone for our weekend and evening music performances. The position is part-time and reports to the Executive Director.

Our venue Club Passim features the best in national and local folk and acoustic music 365 nights per year. Our kitchen is open in the evening to provide meals for patrons, for occasional Saturday afternoon shows and on Sunday 10 am – 2 pm during our live music brunch.


Responsibilities:

· Managing daily operations of live music brunch (setup, artist hospitality and relations, managing and monitoring reservation systems, Toast POS system, cash and tip-out reconciliation, dinner reset, etc.)

· Scheduling all front of house restaurant staff.

· Hiring and training servers and host.

· Coordinating coverage for call-outs, busy shows and special events.

· Ordering of beverages (beer, wine, non-alcoholic), paper goods, glassware, and dinnerware as needed.

· Maintaining organization, appearance, and presentation of all customer-facing spaces at the club (dining room, server stations, bar area, restrooms, green room.)

· Promoting a spirit of collaboration and teamwork between front and back of house staff.

· Promoting and developing hospitality skills of staff to create a friendly and welcoming environment for patrons.

· Communicate and regularly update club management staff on daily operations.

 

Requirements:

· Previous experience managing servers and front of house restaurant operations.

· A positive, “can do” attitude. Strong attention to detail.

· A desire to constantly improve the artist and patron experiences.

· Responsibility and accountability.

· An appreciation for the music and mission of Club Passim.

Server

Description:
We are looking to hire friendly, outgoing, professional individuals to round out our front-of-house service team for our nightly concerts as well as our Live Music Brunches on Sunday mornings.

Seeking individuals to fill position of host, servers, and food runners.
Hospitality experience is preferred, but training may be an option for the right individual.  Evening shifts will run from approximately 6 pm to 11 pm every night.  Brunch shifts will run from 9 am to 3 pm and Sunday. Evening and weekend availability and the desire to work with a great team in an exciting creative environment are a must.

Responsibilities:

  • Warmly greets and acknowledges guests upon arrival

  • Effectively describes food and beverage menus in an informative, friendly, and enthusiastic manner

  • Accurately takes guest orders

  • Cleans, stocks, and maintains the workstations throughout the shift

  • Follows all safety and sanitation policies

  • Performs additional responsibilities as requested

Arts Administration Internship
 
Job Description:

Passim, a nonprofit performance arts organization, offers a semesterly internship program that provides a hands-on, meaningful experience for people beginning a career in the arts. Interns will be immersed in the day-to-day experience of running Passim’s fast-paced office, including working on special events, social media, membership maintenance, and at the box office. Interns will work closely with all Passim staff members, gaining a broad view of the organization as a whole.


Responsibilities:

-Answer the Passim phone to sell tickets and assist patrons as needed.

-Assist the Membership Coordinator with renewal and member services.

-Post to Passim’s social media.

-Maintain active event listings in various Boston publications.

-Analyze the effectiveness of Passim’s social media outlets in the context of other similar organizations.

-Help build bi-monthly newsletters and the online concert calendar.

-Compile press lists and photos.

-Create Spotify playlists.

-Interact with artist management to provide excellent customer service and increase ticket sales.

-Attend and assist at Passim events.

-Complete special projects as needed.

 

Qualifications:

-Strong academic performance.

-Exceptional oral, written, and listening communication skills.

-Exceptional organizational, multitasking, and problem-solving skills.

-Experience using Microsoft Word, Excel and Google Drive.

-Experience with many social media platforms.

-Basic knowledge of current music industry affairs.

-Extremely reliable, a team player, strong work ethic, a positive attitude.

-Knowledge of FileMaker Pro and Showare (a plus, but not required).
